The Booking & Planning Process

TIMELINE OF ACTIVITIES


1.  Initial Contact
Unless otherwise directed, we will return your availability request by email message.  This is out of respect that our clients live busy lives and may not be able to accept phone calls to discuss wedding details while at work.  If you'd prefer we call instead of email you, just let us know in your inquiry.  In our initial message we will confirm our availability, advise which disc jockey(s) is/are available and provide a price quote based on the details you provide to Bay Deejays.  We'll exchange a few emails and set up your initial DJ meeting location.  You will always work exclusively with your DJ - from the initial planning stages, until the last dance of your wedding!


2.  First Meeting
Our first meeting with a prospective clients takes place at a convenient and "neutral" location - usually a neighborhood coffee shop or restaurant of your choice.  This meeting allows everyone to get to know each other to ensure the client "clicks" with the DJ.  It is important to choose a DJ with similar personalities, knowledge of the type of music you are looking for, and a style that suits you.  You'll leave this meeting with a sample contract, online planner login, your DJ's personal contact information and up to ten days to make your no-pressure decision.


3.  Follow-Up Emails/Calls/In-Person Meetings
If you do book Bay Deejays, we are here to assist you with all of your wedding planning needs.  We are available by phone, Skype video chat, email messages, or in-person meetings to help you prepare for your big day.  Depending on how far in advance you booked your event, the length and frequency of these events will vary.  Typically, meetings and communications pick up in the 2-3 months leading up to your wedding, but we're here to help any time you have a question or concern.
 

4.  Final Phone Call, Video Chat, or In-Person Appointment
A final details meeting approximately 2-4 weeks prior to your big day is a great way to finalize your entertainment plans, rehearse the pronunciation of your bridal party members and ask any last minute questions.  It is also the time we will review your music requests, special dances, and event timeline.  This meeting can also be held in-person (based on DJ availability), by phone or Skype video chat, whichever is most convenient for you.

5. The Big Day
Your wedding day is finally here. All of the preparations are set, it’s time for you to enjoy time with friends and family and celebrate your marriage and new life together. Working with professional vendors takes the stress out of your event and allows you to be a guest at your wedding. If there’s anything you need, just ask us - your vendor team works closely to make sure everything runs perfectly.
