What's perfect wedding reception entertainment worth to you?

Most of our couples have never planned a wedding...and while they may know how much they want to spend overall, they will have no clue how much to budget on any one specific vendor.  How do I know this is true?  Because I planned a wedding, and to this day my wife and I will occasionally discuss what we would have done differently at our wedding in our 20's now that we are in our 30's.  The things that were important to us at first (price, food selection, tablecloth colors, style of our cake), were not nearly as important after seeing horrible photographs of our ceremony and reception because we did not want to spend (what we thought was) too much money on our photographer.  A huge mistake that we regret to this day!

Ten years later, most of my friends can't tell me what they ate and drank, or what my wedding cake looked like, but they can tell me many of the songs they danced to and how much fun they had overall.  So what is my planning advice to engaged couples?  Don't set a budget that can't match your expectations, don't let others dictate what YOU want, and most importantly, don't try to save a few dollars by getting an inexperienced vendor that will disappoint you on your big day.  "You get what you pay for" is a popular saying in reference to any service industry, and almost every year I have at least one bride that will call and apologize for not booking Bay Deejays because they chose a cheaper DJ that ruined their reception.  Experienced vendors (not just DJs) cost a little more in any industry, but if you want top quality, they are worth every penny.

Should I trust my friends with my vendor referrals?

If you plan an elegant wedding at a top destination venue and then take vendor recommendations from friends or family members that used a "low-cost" DJ for their company's holiday party or a reception at a local VFW hall, you may be sadly disappointed.  Take vendor/venue referrals from family and friends with a grain of salt.  In terms of a DJ, the entertainer may have been good for that person, for that venue, for that budget, or for that event, but may not have the professionalism, skill, tact, or equipment required for a higher-end event.  Would you book a wedding at the Ritz-Carlton and serve McDonald's burgers and fries?   Probably not.  Your vendors should reflect the caliper of the venue you have selected.  Generally, venue recommendations will serve you well in creating your vendor team because the venue is putting their reputation on the line to match you to vendors they know will do a great job.  Getting recommendations from other similar caliper vendors is also a good idea, as these professionals see each other on a regular basis and they know the good vendors from the bad ones (even though they may not come out and actually tell you the bad ones).

Getting honest price quotes in the wedding DJ industry shouldn't be complicated.

Have you started to notice something about wedding DJ prices?  Most disc jockeys won't give you their price until you call or meet them in person, or they will advertise a low "starting at..." price that ends up being twice as high as expected, or they charge a "premium" for their experienced entertainers and add hidden charges not mentioned on their website or during your call.  Others will not publish how much experience their disc jockeys have (or most likely don't have) so you assume that everyone is equally as talented in their company.  I've been told time after time at industry trade shows and association meetings that I should not publish my rates.  Why not? I ask... I rather be honest with my clients.

At Bay Deejays we think our clients are pretty smart cookies, and given some basic knowledge of our services, pricing, and available options from this site and reviews from past clients (located at www.weddingwire.com/baydeejays), they can make a decision whether or not to proceed with a no-cost, no-pressure consultation.  When we set our prices, we looked at the rates of other disc jockeys that were referred by our industry peers (the same venues and wedding planners that also refer business to Bay Deejays) and established packages that were fair in price and superior in value to our competition.

Bay Deejays 2016-2017 Wedding Entertainment Packages - 
Prices reflect a 3% discount for payment by cash/check.

Note:  Unless quoted otherwise, the event start time is calculated from the time your guests are scheduled to arrive at your venue.  This is to ensure your event is professional from start to finish in the eyes of your guests.  There is no charge for travel within 60 miles (one way) of your venue from the 21236 zip code, and there is never a charge for our equipment setup or breakdown time.  $2/mile travel fee (each way) after the first 60 one-way miles.  A 50% deposit is required to secure your event.  Final payment is due by check at least 10 business days prior to your event.  Credit cards accepted, but subject to a 3% service charge.  Prices valid until January 1, 2017.  Discounts or special deals (when offered) can not be combined with any other offer or special.

Package #1 -  "Reception Only"   $1,500

Up to 4 hours of entertainment, initial consultation at a location convenient for you, password-protected online wedding planner account, helpful planning documents and personalized entertainment consultation, a guaranteed DJ/MC that you will meet at your initial consultation and work with from start to finish, one professional DJ system (single room) for up to 250 guests, 1,000,000+ song CD/MP3 library with the latest hits in all music genres, 4G LTE wireless web access for instant downloads of any guest request (if you wish the DJ to accept guest requests) not already on site, professional wireless microphones (for toasts, blessing, announcements etc.).  Additional hourly rate for this package is $300.00/hour.

Package #2 - "Ceremony & Reception"   $1,700

All of the amenities of Package #1, with up to 5 hours of total ceremony/reception entertainment plus a second mini DJ system for your ceremony music and/or officiant's or live musician's amplification (package includes up to 2 professional wireless microphones, additional microphones available for $50/ea).  In addition, if your cocktail hour is within range of your ceremony location (does not require the DJ to move the equipment), the second DJ system for this package can also be used at no extra charge to provide cocktail hour music. Additional hourly rate for this package is $300.00/hour.

Package #3 - "Ceremony, Cocktails & Reception"   $1,800

Our Most Popular Package!  All of the amenities of Package #2, with up to 5 hours of total ceremony/cocktail/reception entertainment plus a third mini DJ system for cocktail music in a location other than your ceremony or reception area.  Additional hourly rate for this package is $300.00/hour.

Package #4 - "The Deluxe Wedding"   $2,300

All of the amenities of Package #3, with up to 5.5 hours of total ceremony/cocktail/reception entertainment, plus up to 20 LED "uplights" to highlight the walls and/or columns in a single color throughout your reception space. 

Additional LED light fixtures available at $30.00/fixture.   Linked multi-color LED uplighting effect available for an additional $200.   Additional hourly rate for this package is $300.00/hour.

Package #5 - "The Nightclub Wedding"   $2,600

All of the amenities of Package #4, for up to 6 hours of total ceremony/cocktail/reception entertainment, a nightclub-style light show on the dance floor complete with laser/liquid sky effects and multi-colored gobos moving in unison to the music, plus a lighting technician to assist your DJ with lighting effects setup and production. 

Additional LED light fixtures available at $30.00/fixture.   Linked multi-color LED uplighting effect available for an additional $200.   Personalized Bride/Groom gobo spotlight available for an additional $200.00 fee.  Additional hourly rate for this package is $300.00/hour.

Package #6 - "The Ultimate Wedding"   $3,200

All of the amenities of Package #5, for up to 7 hours of total ceremony/cocktail/reception entertainment plus a 8-12 minute video montage we create as the backdrop to either your first dance, cake cutting, father/daughter dance, or mother/son dance (or any other time of your choosing).  Your completed DVD is yours to keep after the event.

You provide 100-150 photographs or digital photo files and your choice of songs that will be played during the montage - photos or files must be provided at least 4 weeks prior to your event.  We provide the laptop or DVD player, multimedia projector and screen or LED TV.  Add $200 if you want us to create your DVD or PowerPoint presentation from your 75-125 photos or digital files.

Additional LED light fixtures available at $30.00/fixture.   Linked multi-color LED uplighting effect available for an additional $200.   Personalized Bride/Groom gobo spotlight available for an additional $200.00 fee.  Additional hourly rate for this package is $300.00/hour.


"A la Carte" Services (add price shown to any package above)

Additional Mini DJ System

If you're having a ceremony or cocktail hour in an area other than your "main room" you should consider adding a second DJ system to make sure you have music (or even just amplification and use of professional wireless microphones for your minister/readers).

Additional Wireless Powered Speaker   $200/ea.

We now have professional grade (TV-station) wireless transmitters and receivers that can transmit HD audio sources from one room to another location within 200-300 feet (through walls on the same floor, but not always through floors of a building).  Best application of this product is to reinforce sound from the dance floor to an adjacent room, lounge, bar, or foyer that is 50 feet or more from the dance floor.

Additional Entertainment Time   $150 per 30 minutes  /   $300 per hour

You can add additional time in advance if you know your exact start and end times, or you can choose to add an extra 30 minutes or hour if your dance floor is packed with people eager to keep dancing (which we know it will be).  This option can only be paid for by check or cash on the day of your event.

LED Uplighting    $35 per fixture (single color)   /   $50 per fixture (DMX-linked for multi-color changing)
Available at a discounted rate in Bay Deejays' Entertainment Packages #4, #5, and #6.

LED uplights add color and sophistication to the walls, columns, and other interesting geometrical aspects of your reception, ceremony or entrance space.  Uplighting is best used in venues that lack non-dimmable lights or have light units that programmed as "all areas or none" leaving your guests in the dark or having a dance floor that is too bright.  Add 12-20 units to cover the majority of your walls, or add just 6-10 fixtures to cover one "splash" wall.  By using a DMX (a professional lighting protocol) connection and linking all of the units to a master wireless controller, you can have the lights fade in and out of colors during dinner and have them move to the beat of the music during dancing.  If a single color option is chosen, the client will select from a palate of 7 pre-programmed colors that most closely match their decor and the lights will remain that same color all night (red, blue, green, white, purple, teal, amber/yellow).  LED lights are compact and cool to the touch and all wiring used is neatly tucked or taped to prevent accidental tripping.

Nightclub-style Light Show   $350

Features intelligent light gobos moving in sync to the music.  A fog machine (if permitted by your venue) or vapor hazer is also included to give contrast to the lights in a darkened room.  If adding both a light show and more than 12 uplights, a lighting effects technician may be added by Bay Deejays at no additional cost to run the light effects permitting your DJ to fully concentrate on music programming and audience interaction.  The light show is used during the dancing portion of your event only unless otherwise requested.

Photo Video Montage   $500 Equipment Only   /   $200 Additional for Presentation Creation

A photo video montage is a great way to show friends and family the "story" of you and your fianc￿ianc￿  You provide 75-150 photographs or digital photo files, and we create a slide show of your photos, set to music you select.  We provide the projector, screen, and/or LCD TV, and DVD player (or laptop) and you provide us with the photos at least 4 weeks in advance.  We return your photos (or files) at our final details meeting or at your wedding (if you are planning from out of town).  If you rather have the photo montage loop on a 40" LED TV, we can offer that equipment for the same $300 rate or to have both, the fee is $500.  If you want us to prepare the PowerPoint presentation or final DVD from your photos or digital files, you pay $200 more.  You'll receive the final presentation on CD or DVD on the day of your wedding in a keepsake DVD case.

Frequent Wedding DJ Pricing Questions

Q.  These prices are slightly higher than some that I've seen for other area disc jockeys; why do some DJs charge less?  

A.  Not all disc jockeys are wedding disc jockeys!  A wedding DJ must possess the skills of a professional disc jockey, master of ceremonies, and wedding coordinator.  Even if you are hiring a wedding coordinator to assist with the planning of your event, if the DJ is not versed in the proper execution of upscale weddings, he/she can ruin the timing or "flow" of your event.  Say it again?  Just because a DJ has experience, it doesn't mean they necessarily have experience or referrals from upscale wedding venues.  Skills, experience, and demand set a market price for each DJ company.  Companies with bad reviews and sloppy professionalism won't be able to command a higher fee, and will have to charge less than the companies such as Bay Deejays, that are consistently in high demand for our services.

Most "budget" or "discount" deejays in town operate on quantity, not quality.  You may see their incredible, "too good to be true" prices plastered on the top of web searches and in cheesy cable TV ads.  Their owners may charge clients $600-$700, keep about $450-$500 for their business, then give your DJ $150-$200 for a 4-hour event.  In this scenario, you will ultimately get what you paid for... the DJ is not making enough money to purchase new music or equipment, or repair the equipment he has. While he may download your specific wedding songs, he may have to resort to illegally obtained music.  The $150 he gets for his events probably won't support a van or large SUV payment, so he may have to ensure all of his equipment fits in his car (which is fine if you only have 80-100 guests, but that's not enough equipment for larger events).  Finally, because he is only making $150 per wedding, he has to deejay at two weddings per day, so he may be a little late getting across the Bay Bridge or making it through the Harbor Tunnel.  Did we mention that you don't get to meet most "discount DJs" until a few weeks before your wedding?!?  That's because these companies don't know who might be working for them at any given time...Would you want to work for a company that was paying you $150 for 8-10 hours of your day, plus the time associated with planning an event?  

Don't spend thousands of dollars on your wedding only to save 3% or less of your total wedding expenses by choosing a sub-par DJ.  Your disc jockey is responsible for all of the entertainment at your event and after the meal and cake are eaten up, if your guests are not having a good time, many of them may leave your reception early.  At Bay Deejays, our entertainers only accept one event per day, and in some cases, one event per weekend.  This ensures that we are on time, well rested, and fully prepared for your event.  It also allows us to spend time with family, friends, and our DJ associates - however, if you should need to move the time of your wedding... no problem!  Because we didn't book two weddings on the same day as your wedding, we can be flexible with short notice time changes if they arise. 

Q.  Do you accept credit cards?

Yes, but as of Jan 1, 2014 our prices reflect the 3% cash discount rate for services.  We pay our disc jockeys a higher percentage than any other DJ firm that we know, leaving a very small profit margin to pay for marketing, taxes, and our overhead expenses such as credit card processing fees.

Q.  Why do some disc jockey firms offer only an all-inclusive pricing option?

A.  We're not sure.  At Bay Deejays we prefer to charge you for exactly what you need, not what you'll never use.  The average wedding with an on-site ceremony is 5 hours total.  If this describes your event, you would most likely need a second DJ system for your ceremony (either so you can amplify your minister's voice plus any guests reading poems or religious passages with high-quality wireless microphones, or to provide ceremony music - or both), and you would also need an extra hour on top of our basic rate, we offer this service in our #2 Package.  At Bay Deejays you'd pay $1,700 for this total service, at our competition you'd pay $300 - $600 more with their "all-inclusive packages".  Even if you added a sixth hour of entertainment and a third DJ system, you'd still likely pay less with Bay Deejays.

Q.  Do you match prices or offer price discounts?

A.  Sorry, but we do not match prices or offer coupons (with the exception of a possible promotion to benefit the Chesapeake Bay or a related contest held at a wedding show with a limited number of winners).  There is no way to quantitatively measure our price to a competitor's price, it's not like checking the price of a LED TV at Best Buy and then looking up the price of the same model at Target.  We believe we offer the best value of any DJ company in town. 

In addition to a minimum of 15 years of DJ experience, your Bay Deejays entertainer also brings with him the experience of hundreds of successful weddings.  A "rookie" DJ who has less than 2 years of experience would be lucky to have entertained at more than 20-25 weddings in his/her short career because of the time required to learn the industry and build up enough experience to book weddings on a regular basis.  Some of our competitors (on their recruiting webpages) state that six month to a year of experience is enough to qualify their entertainers as professional, upscale, DJs.  We think it takes much longer to become a wedding entertainment professional and will never send "rookies" or trainees to your event.

Q.  Do you offer a pre-payment discount?

A.  No.  Sorry, this is just a marketing tactic used by some vendors that artificially increase their rate to give the perception of savings for parting with all of your money up front.  Our prices are set by the markets we serve and are non-negotiable; if we were priced too high for our value, no one would book us...however, we consistently book 12-18 months in advance and are recognized as one of the Top 1% of Maryland disc jockeys.

Q.  "XYZ" DJ Company says you can't be a "real" DJ Company without a big storefront, why don't you have one?

A.  It's great that other companies have huge physical "stores" to meet you and convince/pressure you to book their services, however this raises their overhead costs and ultimately, the rent or mortgage they pay to maintain the storefront is passed onto the consumer.   Does this make them more professional?  Not in our opinion.  It opens them up for more financial liability - which could backfire in a bad wedding/event economy, forcing possible bankruptcy or staff layoffs.  Because these large companies employ such a vast number of subcontractors, they also need a storefront to hold company-wide meetings and house all of the equipment they rent or lend to their crew.  Crime is also a factor, as you are basically announcing that you have a studio filled with expensive equipment, but at night the place will be empty. We have always thought the storefront concept was a bit inconvenient, especially since our clients are booking us from all over the region.  Should we spend more of your wedding budget so we could have physical locations in Baltimore, Annapolis, Washington D.C., Ocean City, Alexandria, and York PA?  Our team of four wedding professionals is more than willing to meet you at locations convenient to you that provide a "neutral", no-pressure atmosphere.  Great service takes a little more effort than the assembly-line mentality of a storefront, but that is what we deliver.  If you still need a personal demo of our skills after talking to past clients and obtaining references from the area's top vendors, we'd be glad to provide this service as well in our White Marsh, MD home office. 

Q.  How does the "Bay Deejays Promise" Campaign work?

A.  Simple.  Since 2011, we give 2.5% of our net proceeds to local non-profit organizations that support the Chesapeake Bay (either through restoration or education).  For events that were held on, or adjacent (within 10 miles) to the Chesapeake Bay, or its tributaries, we'll give 5% of our earnings.  Donations are made as either cash or service to the organizations we support.  We are a proud annual sponsor and partner for the Chesapeake Bay Trust's "Treasure the Chesapeake" fundraiser.  We will also pay for up to two sets of MD Chesapeake Bay auto tags per couple (a $40 value), just send us an application and photo of you with your new tags!   (Bay Deejays clients only)
